Air Conditioning System Maintenance

The Importance of Air Conditioning System Maintenance: Keep Your Business Running Smoothly. In today’s commercial and industrial spaces, air conditioning is more than just a luxury - it’s a necessity.

Whether you manage an office, retail store, or industrial facility, maintaining a stable and comfortable indoor climate is crucial for employee productivity, customer satisfaction, and equipment efficiency. However, simply installing an air conditioning system isn’t enough. Regular air conditioning system maintenance is the key to ensuring optimal performance, longevity, and energy efficiency.

Over time, air conditioning units accumulate dust, dirt, and general wear and tear. Without proper maintenance, these issues can lead to decreased efficiency, higher energy bills, and even costly breakdowns. Here’s why keeping your system in top condition is vital:

Why Regular Air Conditioning System Maintenance is Essential

  1. Energy Efficiency & Cost Savings - A well-maintained air conditioning system runs more efficiently, using less energy to cool your space. Blocked filters, clogged coils, and refrigerant leaks all force the system to work harder, increasing operational costs. Regular servicing helps prevent these inefficiencies, saving money on energy bills in the long run.
  2. Prolonged System Lifespan - Investing in a commercial air conditioning system is a significant financial commitment. Without routine maintenance, wear and tear can shorten its lifespan, leading to premature replacements. By scheduling professional maintenance, you can extend the life of your system, protecting your investment.
  3. Minimising Downtime & Emergency Repairs - The last thing any business wants is a sudden air conditioning failure, especially during peak summer months. Emergency repairs can be costly, not to mention the disruption they cause to your operations. Routine maintenance helps identify potential issues before they become major problems, ensuring continuous operation and minimal downtime.
  4. Improved Air Quality - Poor air conditioning maintenance can lead to a buildup of dust, allergens, and bacteria within the system, affecting indoor air quality. This can cause health issues such as allergies, respiratory problems, and general discomfort for employees and customers. Regular servicing ensures clean filters and proper airflow, promoting a healthier indoor environment.
  5. Compliance with Regulations & Sustainability Goals - Many businesses now prioritise energy efficiency and environmental sustainability. Regular maintenance not only ensures compliance with regulations but also supports sustainability initiatives by reducing unnecessary energy consumption and carbon emissions. At Rossair, we follow industry best practices, including SFG20 guidelines, to ensure your system operates efficiently and aligns with your business’s sustainability objectives.

AC system maintenance - common questions

How often should commercial air conditioning be serviced?
Commercial air conditioning should be serviced twice annually as standard - once before peak summer cooling demand (spring) and once before peak heating demand for heat pump systems (autumn). High-use environments like restaurants, server rooms and retail need quarterly. SFG20 sets the specific tasks for each visit.
What does an air conditioning service include under SFG20?
An SFG20 air conditioning service includes: filter clean/replace, evaporator coil check and clean, condenser coil clean, refrigerant level check under F-Gas, electrical safety check and tightness test, condensate drain clear, control validation, performance test against design spec, and a service report. Frequency and depth scale with the SFG20 task schedule - typically C/D/E grade tasks across the year.
When is F-Gas leak testing required?
F-Gas leak testing requirements scale with refrigerant charge: systems containing 5 tonnes CO2 equivalent or more require annual leak checks; 50+ tonnes require checks every 6 months; 500+ tonnes require quarterly checks. Most commercial split and VRF systems fall into the annual category. Leak detection records have to be kept for 5 years and presented on request to the Environment Agency.
How long does an air conditioning service take?
A standard SFG20 service on a single split system takes 1-2 hours per indoor unit including filter clean, coil check and refrigerant inspection. A VRF system with 20 indoor units takes a full day. Rossair schedules services to avoid disruption - early morning, evening or weekend visits where the site can’t afford downtime. The 24-hour job report follows every visit.
What does poor air conditioning maintenance cost a business?
Three real costs: (1) energy waste - dirty coils and clogged filters increase electricity consumption by 15-30%; (2) statutory exposure - missing F-Gas records carry fines and prosecution risk under F-Gas legislation; (3) catastrophic breakdown - emergency callouts during a heatwave cost 3-5x routine work plus business interruption. Rossair’s PPM packages bundle prevention into a predictable annual cost.
