If you have any question about this policy or about how we handle your data, contact us at info@rossair.co.uk or call 01420 566822.
The information we collect
We collect personal data in two ways:
Information you give us
When you complete an enquiry or callback form, or email or call us, we collect the details you provide - typically your name, company, email address, phone number, and the content of your message or enquiry.
Information collected automatically
When you visit the site, our hosting provider and analytics tools may record technical information such as your IP address, browser type, the pages you view, and the site or search that referred you. This is used to keep the site secure and to understand how it is used. See Cookies and analytics below.
How we use your information
We use your personal data to:
- respond to your enquiry, arrange a callback, or provide a quotation;
- manage maintenance contracts and projects, and keep in touch with existing clients;
- keep the website secure and working correctly;
- understand how the site is used so we can improve it.
Our lawful bases under the UK GDPR are your consent (for example, when you submit a form), our legitimate interests in responding to enquiries and running our business, and, where we work with you, the performance of a contract. We do not use your data for automated decision-making.
Who we share it with
We do not sell your personal data. We share it only with service providers who help us run the business and the website, and who process data on our instructions:
- Zoho - enquiry and contact details are routed into our customer relationship management system so we can respond and keep a record of the enquiry.
- Vercel - our website hosting provider, which processes server logs needed to serve and secure the site.
- Google and Microsoft - analytics and advertising measurement, as described below.
We may also disclose information where we are required to by law. Some of these providers may process data outside the UK; where they do, they rely on appropriate safeguards such as the UK International Data Transfer Agreement or addendum.
Cookies and analytics
Cookies are small files stored on your device. We use a small number of essential cookies needed for the site to function. With your agreement, we also use the following analytics and advertising tools, which set their own cookies or identifiers:
- Google Analytics (GA4) - measures how visitors use the site so we can improve it.
- Google Ads - measures the performance of our advertising and attributes enquiries to campaigns.
- Microsoft Clarity - records aggregated usage patterns (such as anonymised session activity) to help us understand and improve the site.
You can control or block cookies through your browser settings. Blocking analytics and advertising cookies will not affect your ability to use the site or contact us.
How long we keep your data
We keep enquiry and contact data for as long as needed to respond to you and, where a working relationship follows, for the life of that relationship plus the period we are required to retain records for legal, tax and insurance purposes. Analytics data is retained according to the standard retention periods of the tools above. We do not keep personal data longer than necessary.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is inaccurate or incomplete;
- ask us to delete your data, or to restrict or object to how we use it;
- ask us to transfer your data to another provider where applicable;
- withdraw consent at any time where we rely on it.
To exercise any of these rights, write to the Data Protection contact at Rossair Group Ltd, West Gate, 104 High Street, Alton, Hampshire GU34 1EN. We will respond within one month.
Complaints
If you are unhappy with how we have handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection, at ico.org.uk.
Changes to this policy
We may update this policy from time to time. When we do, we will change the “last updated” date at the top of this page.
